Closing Officer – Remote California, Arizona or Nevada 

Job Status:  Regular Full-Time (Non-Exempt)

Job Summary 


The Closing Officer is the project manager responsible for ensuring that files transferred to the closing department meet SBA requirements and closing, submission, and funding deadlines while providing excellent customer service and maintaining strong relationships with TMC clients, Brokers, Lenders, SBA, Title and Escrow contacts. 




  1. Taking on files transferred to the closing department from the closing associate.

    • Review all documentation for accuracy and address and resolve red flags that could delay closing and/or prevent debenture funding. 
    • Generate forms and needs lists as required 
    • Update Attorney cover sheet with documentation review and correspondence  
    • Send introduction emails to borrower, escrow officer, and lender partner on Straight purchases.  
    • Send request for required evidence of insurance.  
  2. Generate 327 loan amendments & track approval 
  3. Regularly correspond via email/mail/telephone with borrowers, closing attorneys, SBA, escrow officers, title officers, insurance agents, lending partners, and occasionally brokers in order to answer questions, convey information from one party to another, request documentation, keep internal files current and ensure SBA conditions are met allowing the closing process to move as fast and smooth as possible.  
  4. Monitor assigned construction loans from the time of assignment from closing associate.

    • Open a new escrow for the SBA loan if not done by Closing Associate 
    • Discuss the SBA construction loan requirements with the Lender and Borrower.  
    • Revise & Send Borrower/Lender Needs list when Construction is 30 days from completion. 
    • Research and confirm construction permit requirements with Building Department when a new certificate of occupancy is not issued.  
    • Follow up with borrower and/or lender & work with all parties to obtain requested items necessary to meet the SBA requirements.  
    • Ensure that updated financials are reviewed to confirm no adverse change. 
    • Work with lender to confirm the interim loan is fully disbursed and confirm final loan amounts. 
    • Work with Title companies on indemnity & all items needed to issue a lien free ALTA policy to submit file to SBA for funding.  
  5.  Work closely with Closing Attorney to clarify unresolved issues and obtain required documents to meet SBA funding requirements. 
  6. Salesforce system fields maintained for accuracy and contact activities logged.  
  7. Ventures system fields maintained for accuracy and documentation submitted to SBA.  
  8. CAFS system fields maintained for accuracy and documentation submitted to SBA.  
  9. BOX – Maintain checklists and save documents stored for audit 
  10. Oversee preparation of submission files and correcting any discrepancies. 
  11. Attending training sessions on a regular basis to obtain most current information about changes to forms and procedures. 
  12. Backup for Senior Closing Associate Invoice Ground up construction processing Fees to escrow officer 
  13. Backup for Senior Closing Associate Create invoice for third party lender participation fee 
  14. Problem-solving and educating borrowers, lenders and TMC staff with questions related to SOP. 


  • Bachelor’s degree (B. A.) from four-year college or university; and/or 4-6 years related experience and/or training; or equivalent combination of education and experience; 
  • 3-5 years of experience in commercial lending practices as it relates to SBA lending. 
  • Excellent time management and project management skills; must be able to track and manage details for multiple clients and projects, and prioritize against daily responsibilities; 
  • Excellent attention to detail without compromising deadlines; 
  • Strong people and communications skills are essential.  Must be able to interact and cooperate with various personality types and work levels both internally and externally; 
  • Organized, disciplined thinker with ability to work independently in fast paced, rapidly changing environment; 
  • Excellent phone etiquette and customer service skills; 
  • Strong written communications and email etiquette skills; 
  • Proficiency in MS Office applications – Word, Excel, PowerPoint, Outlook; 
  • Working knowledge of CRM databases. Salesforce experience a plus.
